A well-written grievance is clear, specific, and demands a remedy. It becomes a legal document that may be reviewed by an arbitrator.
Clearly describe what happened. Include dates, times, names, and locations.
Example: 'On March 15, 2026, Supervisor John Smith disciplined Employee Jane Doe with a written warning for alleged tardiness without conducting a proper investigation or following progressive discipline procedures.'
Cite the specific contract articles that were violated.
Example: 'This action violates Article 5 (Just Cause), Article 12 (Progressive Discipline), and Article 15 (Management Obligations), as well as any other applicable articles, past practices, and side agreements.'
Tip: Always add 'and any other applicable articles' to keep your options open.
State specifically what you want management to do to make it right.
Example: 'The Union demands that the written warning be rescinded and removed from Jane Doe's personnel file, that she be made whole for any losses, and that the Company cease and desist from violating the collective bargaining agreement.'
• Be specific but don't limit yourself
• Stick to facts, not emotions
• Use contract language
• Include 'make whole' language for lost wages/benefits
• File within the contractual time limits
• Keep a copy for your records
